Role Summary:
The People Operations Specialist is an HR process expert who supports the HR People Partners and HR Business Partners providing efficient, consistent and compliant HR transactional services across the employee lifecycle for our employees based in Vienna.
Your Responsibilities:
- Execute and manage employee data change requests in SAP SuccessFactors, ensuring accuracy and compliance across all lifecycle stages.
- Maintain HRIS data integrity, including organizational hierarchy updates and structural consistency.
- Coordinate interview scheduling in collaboration with Talent Acquisition and hiring managers.
- Facilitate onboarding and exit processes, ensuring a smooth and compliant experience for new hires and leavers.
- Prepare employment-related letters and documentation, including confirmations, amendments, and reference letters.
- Manage personnel files and ensure secure and organized documentation in line with data protection standards.
- Generate new hire contracts and oversee completion of required paperwork.
- Respond to urgent reporting needs by providing timely and accurate HR data and insights.
- Deliver payroll inputs in coordination with Finance and Payroll teams, ensuring completeness and timeliness.
- Administer employee benefits and support employees with benefit-related queries.
- Handle benefit and payroll escalations, ensuring resolution in partnership with relevant stakeholders.
- Liaise with local authorities for employment-related communication and documentation.
- Support all other HR transactions and administrative processes as required, ensuring consistency, compliance, and service excellence.
- Ensure all HR matters are handled fairly and consistently with local laws and regulations and our company compliance regulations.
- Maintain and protect confidential data with utmost scrutiny, judgement, and care.
Your Qualifications:
- Minimum of 3–5 years of experience in HR operations or administrative HR roles, ideally within a production or industrial environment
- Solid understanding of Austrian labor law and HR compliance requirements
- Proven experience working with HRIS systems (e.g., SAP SuccessFactors), including data entry, maintenance, and reporting
- Strong attention to detail and accuracy in handling employee data and documentation
- Demonstrated ability to manage multiple transactional tasks efficiently and prioritize in a fast-paced environment
- High level of discretion and integrity in managing confidential employee information
- Service-oriented mindset with excellent interpersonal and communication skills
- Collaborative team player with a strong problem-solving mindset
- Comfortable working independently and collaboratively within a matrixed organization
- Proactive, hands-on approach with a continuous improvement mindset
- Fluent in German and English, both written and spoken

- We offer a minimum compensation package starting at € 40,000 gross/year on a full-time basis (38 hours/week), with the opportunity of overpayment depending on your experience, skills and qualification.
