Role Summary

To deliver accurate end-to-end payroll, HR administration and recruitment support,ensuring employee data, payments and employment records are complete, authorised and auditable.

 

Your Mission

  • Process weekly and monthly payrolls accurately and on time, following agreed timetables, cut-off dates and approval controls.
  • Collect, validate and process authorised pay elements and employee changes,including salary, hours, overtime, shift premiums, allowances, starters, leavers, back pay and final payments.
  • Process PAYE, National Insurance, pensions, student loans, attachment orders, Direct Earnings Attachments, SSP, company sick pay, SMP and other statutory payments or deductions.
  • Reconcile OneAdvanced Time and Attendance information to payroll; investigate missing clockings, unapproved hours, incorrect rates, duplicate payments and material pay variances before submission.
  • Prepare payroll previews, control reports and gross-to-net reconciliations for HR Manager and Finance approval; no unsupported manual or retrospective adjustment may be processed.
  • Complete payroll submissions, issue payslips, respond to employee queries and maintain clear records of corrections, overpayments and outstanding actions.
  • Administer pension enrolment and contribution changes, upload pension files and reconcile employee and employer contributions to payroll.
  • Produce payroll, headcount, overtime, absence, pension and deduction reports and reconcile payroll information to HR, Finance and pension records.
  • Support payroll year-end, the new tax year, P60s, statutory reporting, internal and external audits, and maintain current payroll procedures and audit evidence.
  • Administer the full employee lifecycle, including offers, contracts, right-to-work and pre-employment checks, onboarding, probation, employee changes, absence, family leave and leavers.
  • Prepare accurate HR correspondence and ensure salary, job title, manager, department, cost centre, shift, hours and personal-information changes are supported and effective from the correct date.
  • Administer holidays, sickness, fit notes and family leave, ensuring relevant information is approved, recorded and provided to payroll before cut-off.
  • Maintain complete electronic employee files in accordance with confidentiality, access, naming, filing and retention requirements.
  • Create, amend and close employee records across OneAdvanced HR, OneAdvanced Time and Attendance, TMS, Flexipay, SAP SuccessFactors and other approved systems.
  • Complete regular system audits, correct authorised discrepancies and raise support tickets for interface, access or data-transfer issues.
  • Ensure every employee or payroll amendment has an approval trail and is updated consistently across all affected systems.
  • Coordinate approved recruitment from advertising and application management through interview, selection, offer, pre-employment checks and onboarding.
  • Prepare vacancy adverts, interview documentation, candidate communications and offers only after the vacancy, salary and terms have been authorised.
  • Maintain recruitment trackers and coordinate contracts, references, inductions, IT equipment, system access and internal announcements.
  • Act as the HR administration contact for agencies on the Preferred Supplier List and maintain accurate records of leased personnel, assignments, rates, transfer dates and end dates.
  • Check agency hours and invoice information against approved time records, resolve discrepancies and report on agency headcount, cost and transfer opportunities.
  • Escalate unapproved headcount, rate changes, supplier changes or assignment extensions; the postholder may not agree new commercial terms independently.
  • Support policy and procedure updates and, where suitably experienced, assist with investigations, disciplinary, grievance, capability and absence cases through letters, notes, case files and action tracking.
  • Maintain strict confidentiality and individually assigned system access; do not process unsupported changes, and escalate complex employee relations, payroll, fraud, data protection or statutory matters to the HR Manager.

 

Your Profile

  • Minimum of 2 years’ experience working in an HR and payroll role.
  • Demonstrable end-to-end payroll experience, including weekly and monthly payrolls, variable pay, overtime, pensions, statutory payments and deductions.
  • Working knowledge of PAYE, National Insurance, statutory pay, pension auto[1]enrolment, payroll controls and record keeping.
  • Experience supporting the full employee lifecycle and maintaining accurate HR and payroll records.
  • Experience using HR, payroll and time and attendance systems.
  • Strong Excel, numerical and analytical skills, with the ability to reconcile reports and identify payroll or data anomalies.
  • Manage fixed payroll deadlines and competing HR and recruitment priorities without compromising accuracy.
  • Professional communication skills and confidence to challenge incomplete, late or unsupported information.
  • Proven discretion when handling confidential payroll, personal and employee relations information.
  •  Experience coordinating recruitment, onboarding and agency or leased personnel administration.
  • Experience with OneAdvanced, Flexipay, TMS and SAP SuccessFactors would  be beneficial.
  • Experience supporting policy work, investigations, disciplinary and grievance processes.
  • A recognised payroll, HR or CIPD qualification.
